Sales ordering & reporting system — chemical supplies distributor


The client's field sales reps were recording sales in a monthly spreadsheet tracker and filling in a separate order form by hand for every order, then emailing it to head office. The same information was being entered twice, and because customer names were typed freehand, the reps' records and head office's ledger never quite matched.

Reviewing two years of sales history — 643 transactions — the same customers appeared under 227 different spellings, which resolved to 107 actual accounts. Some monthly totals didn't match the rows above them, meaning individual sales had quietly dropped out of the reporting.

We built a single system where a rep enters each order once. From that one entry, a branded order form fills itself in and prints to PDF for head office, the monthly sales report writes itself, commission is calculated automatically at each agent's own rate, and a live dashboard shows sales by customer, by month and by agent.

It also handles the details that make a system usable in the real world: sterling price lists with a monthly currency conversion setting, an account-hold control so accounts staff can flag customers who haven't paid, and a delivery-or-invoice-only flag so nothing gets shipped twice.

Head office's customer ledger — 94 accounts — was loaded and matched against the sales history, so both sides now work from the same names and the same account codes. The system runs in ordinary Excel across a team of field agents, with no subscriptions and nothing to install.
